In order for a private or state organization to report to the tax authorities for the expenditure of funds for the purchase of fuel, lubricants, as well as for the depreciation of the vehicle, a vehicle waybill is used.

This document is necessary for the driver of both a car and a truck; it is included in the mandatory list of documents that a driver of a regular vehicle must have.

Moreover, in the absence of a waybill, the driver is imposed a fine of 500 rubles, according to article 12.3 part two of the Code of Administrative Offenses.

The editorial staff of the Vodi.su portal reminds that drivers working on regular passenger vehicles must have the following documents with them:

• driver's license;
• documents for the car - registration certificate;
• waybill form No. 3;
• a transport permit and a bill of lading (if you are transporting any goods).

It is also worth noting that a waybill is not mandatory for drivers working for private entrepreneurs who pay taxes under a simplified scheme, since such a taxation scheme does not provide for reporting on spending.

It is also not needed for those legal entities for which car depreciation and fuel costs are not so important.

What is included in the waybill for a car?

Form number 3 was approved back in 1997 and has not changed much since then.

They fill out a waybill in the accounting department or in the control room, the presence of the driver is not mandatory, he just needs to check the accuracy of the entered data. For those cars that perform their daily work within the same city or region, a waybill is issued for a month. If the driver is sent on a business trip to another region, then the sheet is issued for the duration of the business trip.

Filling out a waybill is not particularly difficult for an accountant, but this work is monotonous and routine, given that in many organizations, such as taxi services, there can be hundreds or even thousands of such cars.

The waybill has two sides. On the front side at the very top there is a “cap”, where it fits:

• sheet number and series, date of issue;
• the name of the company and its codes according to OKUD and OKPO;
• brand of car, its registration and personnel numbers;
• Driver data - full name, number and series of VU, category.

Next comes the section “Assignment to the driver”. It indicates the address of the company itself, as well as the destination. Usually, if a car is used for various in-line tasks - go there, bring something, go to the delivery service, and so on - then this column can simply indicate the name of the city, region, or even several regions, so that each just do not write out a sheet if you need to take the chief accountant to the tax office, and along the way she will remember that she still needs to go somewhere.

It is much more important for the driver himself to pay attention to the individual columns in this section:

• “The car is technically sound” - that is, you need to make sure that it is technically sound, and only then sign it;
• The mileage at the time of departure and return must correspond to the speedometer readings;
• “Movement of fuel” - indicates the remaining gasoline in the tank at the time of departure, all refueling on the way, the balance at the time of return;
• Marks - downtime during working hours is indicated (for example, downtime in a traffic jam with a running engine from 13.00 to 13.40);
• Return and acceptance of the car by a mechanic - the mechanic confirms with his signature that the car returned from the task in a technically sound condition (or indicates the nature of breakdowns, repair work - filter replacement, topping up oil).

It is clear that all these data are verified by signatures and confirmed by checks.

The accounting department keeps special journals, where the numbers of waybills, the cost of fuel, fuel and lubricants, repairs, and the distance traveled are entered. Based on all this information, the salary of the driver is calculated.

On the reverse side of the waybill there is a table in which each individual destination is entered, the time of arrival and departure, the distance traveled at the time of arrival at this point.

It must be said that if a passenger car delivers goods to any address, then the customer must confirm with a seal and signature that this column of the waybill is filled in correctly.

Well, at the very bottom of the reverse side of the travel face there are fields for indicating the total time the driver has been behind the wheel and the number of kilometers traveled. Salaries are also calculated here - depending on the method of calculating salaries (for mileage or for time), the amount in rubles is indicated.

Of course, any driver should be interested in the correct filling of the waybill, since his income depends on it.
