A truck driver's waybill is one of those documents that should always be in the car, along with the bill of lading, driver's license and vehicle registration certificate. On the Vodi.su portal, we have already considered the topic of a waybill for a car, and in this article we will write about what a waybill for a truck is.

The purpose of this document is to justify the costs of maintaining and depreciating the organization's fleet.

Trucks require more costs for both maintenance and refueling, as a result, all this translates into very large sums. Judge for yourself - the MAZ 5516 dump truck eats about 30 liters of diesel per hundred kilometers, GAZ 3307 - 16-18 liters of gasoline, imported tractors such as MAN, Mercedes, Volvo, Iveco and others also do not differ in modest appetites - 30-40 liters per 100 km. Add here the cost of repairs, oil changes, punctured and worn out expensive tires - the amounts are very large.

The waybill also allows the driver to correctly calculate his salary, the amount of which may depend either on the mileage or on the total time spent driving.

To date, there are several forms of the sheet, approved in 1997:

  • form 4-c;
  • form 4-n;
  • form 4th.

Form 4-c applies if the driver's wages are piecework - the mileage and the number of flights performed per shift are taken into account.

Form 4-n - used for time wages, usually this form is issued if you need to make delivery to several customers.

If the car performs tasks for the implementation of intercity transportation, then the driver is issued form No. 4.

There are also special forms of waybills for individual entrepreneurs and legal entities. We will not touch on all of them, since the filling principle is almost the same, in addition, there are orders from the State Statistics Committee, which accountants, of course, know about.

Filling out a waybill for a truck

The sheet is issued for one working day, except when the car is sent on long business trips. The number of the sheet and the date it was filled out are entered in a special log book, which is maintained by the dispatcher.

Information about the date of departure is entered into the waybill, the type of task is indicated - a business trip, work on a schedule, work on weekends or holidays, a column, a brigade, and so on. Then the exact information about the car is indicated: registration number, brand, garage number. There is also a column for trailers, where their registration numbers also fit.

Be sure to enter the driver's data, the number and series of his driver's license. If there are accompanying persons - freight forwarders or partners - their details are indicated.

Before the car leaves the territory of the base, the chief mechanic (or a person replacing him) must confirm the serviceability of the vehicle with his autograph, and the driver puts his signature, confirming this fact. From this moment on, all responsibility for the car and the goods lies with him and the accompanying persons.

There is a separate column for indicating the mileage at the time of departure from the base and return. The movement of fuel is also described in detail: displacement at the start of the shift, numbers of coupons for refueling or refueling on the way, displacement at the end of the working day. The type of fuel is also indicated - DT, A-80, A-92, etc.

Assignment

Difficulty can cause the column “Assignments to the driver”. Here the address of the customers is indicated, the numbers of delivery notes for the delivery of goods are entered (for form 4-p), the customer notes with his seal and signature that the car was really at this point at such and such a time. In addition, here it is necessary to note the distance to each destination, the tonnage - what is the weight of the goods delivered to a particular customer), the name of the goods - food, spare parts, equipment.

If the delivery of the order cannot be completed in one trip, the exact number of trips is indicated in the “number of trips” column.

In form 4-p there are also tear-off coupons that are used by the enterprise to present an invoice to the customer for goods delivery services. The customer indicates here all the data about the vehicle, delivery time, unloading time, keeps one copy for himself, transfers the other with the driver to the enterprise.

The driver or accompanying persons must carefully check the correctness of filling out waybills and tear-off coupons.

Calculation of time and mileage

When the truck returns to the base, the dispatcher accepts all the documentation, calculates the mileage, total travel time, and fuel consumption. Based on this information, the driver's salary is calculated.

In case of any breakdowns, in the “Notes” column, the dispatcher enters information about the repair, its cost, used spare parts (filter, hose, wheel, etc.)
